2. Hosting by IONOS

Our website is hosted by IONOS SE, Elgendorfer Str. 57, 56410 Montabaur, Germany. The hosting provider processes technical connection data, particularly your IP address, to deliver content and secure operations. The legal basis is Article 6(1)(f) GDPR; our interest is a secure, reliably accessible website.

According to IONOS hosting information, visitor data includes the requested page, referrer, access time, browser, operating system, device type and anonymised IP address. IONOS specifies eight weeks of retention and no transfer of this visitor data outside the EU.

We create backup copies to restore the website and store them on a Hetzner Storage Box in a German data centre. We retain daily backups for one week, weekly backups for four weeks and monthly backups for three months. This schedule concerns our website backups, not IONOS visitor data or our email mailboxes. Processing serves website recovery and availability on the basis of Article 6(1)(f) GDPR.

3. IONOS website statistics

IONOS describes WebAnalytics as a default hosting component. According to the provider, statistics use logs or a tracking pixel, anonymise IP addresses after transmission and do not use cookies. The purpose is technical optimisation. For exclusively server-side analysis, our legal basis is Article 6(1)(f) GDPR, our interest in a website that meets visitors' needs. Details: IONOS WebAnalytics.

According to IONOS, data from the last twelve months is available for analysis in WebAnalytics. This reporting period is distinct from the eight-week retention of webhosting visitor data and does not establish a confirmed deletion deadline for all underlying data. Source: IONOS – selecting a project and reporting period in WebAnalytics.

4. Appearance and browser storage

You can select light, dark or automatic appearance. Your selected light or dark preference is saved in browser storage under “bit-theme” and read on subsequent visits. It remains until you choose “Auto” or delete the website's browser data. Automatic appearance follows your system setting. A previous value under “bit-appearance” may be read for migration and is removed when you make a new selection.

This function does not transmit your preference to us or other providers. Storage and access exclusively serve your selected appearance function (section 25(2)(2) TDDDG). Where personal data is involved, Article 6(1)(f) GDPR applies; our interest is to provide your chosen appearance.

5. IT Check and disabled functions

The IT Check processes your answers and results locally in your browser. The application does not persist these inputs or send them to B.I.T. The calculator is not publicly available.

The contact, support and careers sections provide telephone and email links instead of website forms. A telephone link opens your device’s calling function; an email link opens your own email application. The website does not transfer IT Check answers or results through these links. Website email delivery and Cloudflare Turnstile are inactive.

6. Email and telephone enquiries

When you contact us, we process the information you provide, such as your name, contact details, company and message, to handle and answer your enquiry. Article 6(1)(b) GDPR applies where you are personally a contracting party and the enquiry concerns a contract or steps before entering one. Other enquiries and communication with representatives of business customers rely on Article 6(1)(f) GDPR; our interest is appropriate communication and handling of business matters.

We use Microsoft 365 for email communication and NFON together with STARFACE for telephony. Recipients are the B.I.T. staff responsible for your enquiry and the communication and IT service providers used to handle it. Depending on the contact channel, this involves contact details, communication content and the case information needed to handle your request.

Messages sent to info@bit-datentechnik.de are not automatically archived. We manually transfer only individual messages selected as relevant to inoxisionNG or inoxision Archive.

We delete completed, non-archived enquiries after processing in accordance with our internal instruction. Retention of manually archived messages follows the applicable statutory retention obligations.

Statutory retention obligations depend on the type of document: commercial and business correspondence is generally retained for six years, accounting vouchers for eight years and certain accounting records for ten years. Relevant provisions include section 147 AO and section 257 HGB, including their rules on when periods begin and possible extensions. These obligations do not apply indiscriminately to all emails and support data. Processing necessary to meet a statutory retention obligation relies on Article 6(1)(c) GDPR.

Contact is voluntary. Without a working contact address and the information needed to handle your enquiry, we may be unable to respond. Please do not send passwords or confidential access credentials.

7. Job applications

If you apply, for example by email, we use your information to decide whether to establish an employment relationship (section 26(1) BDSG). Applications are handled through the separate email mailbox bewerbung@bit-datentechnik.de, which is excluded from the general email archive. Access is restricted to people involved in selection. If an application is rejected, we delete the application data. If hired, necessary information is transferred to personnel administration. Longer inclusion in a candidate pool requires a separate basis, such as your consent, which you may withdraw for the future.

8. External links and remote support

Our website includes a link to the pcvisit download. An ordinary link does not load the target provider's content merely when our page is viewed. Opening the link takes you to an external site governed by its own privacy information. Downloading and subsequently using remote support software are separate activities; visiting our website does not start remote access.

The website does not automatically embed external fonts, Google Analytics, marketing pixels, maps, videos or social media feeds. This does not exclude the hosting statistics described above.

9. Your rights

Subject to statutory conditions, you have rights of access (Article 15 GDPR), rectification (Article 16), erasure (Article 17), restriction (Article 18) and portability (Article 20). Where processing relies on consent, you may withdraw it at any time for the future without affecting the lawfulness of earlier processing.

For processing based on Article 6(1)(f) GDPR, you may object on grounds relating to your particular situation (Article 21). We then stop processing unless overriding compelling legitimate grounds exist or processing is needed to establish, exercise or defend legal claims. You may object to processing for direct marketing at any time.

You may complain to a data protection authority, particularly where you habitually reside, work or believe an infringement occurred (Article 77 GDPR). The authority responsible for our company is Der Landesbeauftragte für den Datenschutz Niedersachsen, Prinzenstraße 5, 30159 Hannover, Germany; phone +49 511 120-4500; email poststelle@lfd.niedersachsen.de. Information and complaint channels: www.lfd.niedersachsen.de.

10. Security and changes

The website is intended to use encrypted HTTPS connections. The security of your device and personal email account is outside our direct control. We will update this notice when new website functions or service providers are introduced.
